Elections are the cornerstone of any strong and credible organization, ensuring that leadership reflects the voice, trust, and aspirations of its members. A fair and transparent electoral process promotes accountability, encourages participation, and strengthens the overall governance framework.
With the recent amendments to the BMM By-laws, we have strengthened the election process to be more structured, transparent, and equitable for the entire community.

BMM Election

The BMM election process is designed to ensure fairness, transparency, accountability, and timely resolution of all election-related matters. For detailed information, please refer to Article II, Section 11 of the BMM By-Laws

The BMM Elections for the Executive Committee (EC) and Board of Trustees (BOT) are conducted during the General Body Meeting held at the biennial convention. If elections cannot be held at the convention, a special meeting must be arranged within 30 days.

 Voting Eligibility:

Only BMM Representatives (Mandal Representatives) from Executive Member Mandals in good standing are eligible to vote. A verified list of eligible voters is prepared by the Secretary in consultation with the Treasurer and is available under the “BMM Representatives” tab on this page.

BMM further ensures transparency by publishing information about candidates contesting the BMM Elections on the respective tabs of this page.

Voting Process:

Elections are conducted electronically, ensuring confidentiality and anonymity of votes. Voting begins at 9:00 AM local time for remote participants, while in-person attendees vote during the General Body Meeting. Results are announced before the conclusion of the meeting, with detailed vote counts shared privately with candidates.

Candidate Requirements:

Candidates are required to be physically present at the convention (with limited exceptions under extraordinary circumstances) and must have purchased a convention ticket at the time of nomination.

Candidate Nomination Form:

If you are an eligible candidate and wish to run for a position, please submit the Candidate Nomination Form by Sunday, April 26, 2026.

Independent Election Commission (IEC):

An Independent Election Commission (IEC) is established for each election cycle to ensure that elections are conducted in a fair, impartial, and transparent manner.

The IEC comprises five members: the senior-most BOT member, two non-contesting EC members, and two additional members who are not part of the EC. The latter two are jointly selected by the BOT and EC representatives, with potential nominations from the General Body, provided they meet the prescribed eligibility criteria.

All IEC members are required to attend the Convention in person.

The IEC is responsible for handling all election-related disputes, and its decisions shall be final and binding. All such disputes must be reviewed and resolved within 12 hours following the conclusion of the General Body Meeting.

Guidelines for Members of the Independent Election Commission (IEC)

To ensure that the BMM Elections are conducted in a fair, impartial, and transparent manner, all IEC members are expected to adhere to the following guidelines:

1. Confidentiality

  • Do not disclose names of contesting candidates before the official nomination deadline and announcement.
  • Maintain strict confidentiality of all election-related information.

 

2.Neutrality

  • Remain completely impartial at all times.
  • Do not support, oppose, or comment on any candidate or campaign.
  • Avoid any discussions that may influence election outcomes.

 

3.Communication

  • Do not initiate contact with candidates regarding election matters.
  • Respond only to candidate-initiated queries, limited to process clarifications.
  • Ensure responses are consistent and, where needed, shared within IEC.

 

4.Conflict of Interest

  • Disclose any real or perceived conflict of interest immediately.
  • Recuse yourself from related discussions if required.

 

5.Process Compliance

  • Follow all BMM By-Laws, Election Guidelines, and timelines.
  • Ensure fair and equal treatment of all candidates.

 

6.Integrity & Conduct

  • Uphold the highest standards of professionalism, integrity, and accountability.
  • Avoid any behavior that could compromise the credibility of the election.

BMM Elections 2026 - Campaigning Guidelines

To ensure a fair, respectful, and transparent election process, all candidates are required to adhere to the following guidelines established by the Independent Election Commission (IEC):

1. Code of Conduct
• Candidates shall conduct themselves with integrity, professionalism, and respect toward fellow candidates and the community.
• Negative campaigning, personal attacks, or defamatory statements against any individual or Mandal are strictly prohibited.

2. Campaign Communication
• All campaign communication must be truthful, accurate, and verifiable.
• Candidates may share their vision, priorities, and experience, but must avoid misleading or exaggerated claims.
• Official BMM platforms may be used only as permitted by the IEC.

3. Use of BMM & Mandal Resources
• BMM resources, mailing lists, and platforms shall be used only in accordance with IEC-approved guidelines. Accordingly, campaigning is not permitted in any BMM groups and must be conducted solely at the BMM Representative level or through the respective Mandal Executive Committees.
• Candidates shall not misuse their current positions within BMM or Mandals for undue advantage.

4. Fair Access & Equal Opportunity
• All candidates will be provided equal opportunity to present their profiles (e.g., through official BMM election webpage or forums).
• No candidate shall attempt to influence or restrict another candidate’s access to voters or platforms.

5. Engagement with Voters
• Candidates are encouraged to engage with other BMM Representatives or their Mandal Executive Committee members in a respectful and informative manner.
• Any form of coercion, inducement (cash/gift), or undue influence on voters is strictly prohibited.

6. Campaign Materials
• Campaign materials (emails, flyers, videos, etc.) must be dignified and aligned with BMM values.
• Any use of BMM logo, branding, or name must comply with IEC guidelines.

7. Compliance with IEC
• Candidates must strictly adhere to all instructions, timelines, and processes communicated by the IEC.
• Any clarification required should be sought directly from the IEC.

8. Violation & Enforcement
• Any violation of these guidelines may result in review and appropriate action by the IEC, including warnings or disqualification, as deemed necessary.
• The decision of the IEC shall be final and binding.

Membership Fee Payment & Good Standing

A Mandal shall be considered in “Good Standing” on any given date if its annual membership fees for the relevant calendar year have been paid on or before March 31 of that year. If the membership fees are not paid by this deadline, the Executive Member Mandal shall forfeit its voting rights.

Role Overview

The President of Bruhan Maharashtra Mandal (BMM) serves as the Chief Executive Officer of the organization and provides overall leadership, direction, and governance. The President is responsible for ensuring that the vision, mission, and strategic objectives of BMM are effectively carried out in alignment with the guidance of the Executive Committee (EC) and the Board of Trustees (BOT).

The President plays a critical role in driving organizational excellence, fostering collaboration across Mandals, and representing BMM at a global level.

  • Provide overall leadership and strategic direction to BMM

Role Overview

The Board of Trustees (BOT) serves as the strategic oversight and governance body of Bruhan Maharashtra Mandal (BMM). The BOT ensures that the organization operates in alignment with its long-term vision, mission, and constitutional framework, while providing guidance and accountability to the Executive Committee (EC).

BOT members play a critical role in monitoring operations, safeguarding organizational assets, strengthening governance standards, and enabling sustainable growth of BMM.

Key Responsibilities

Strategic Oversight

BMM Representative (Mandal Representative)

“The BMM Representative serves as a liaison between the Mandal and BMM, enabling effective communication, collaboration, and unity across the community.”

Role Overview

 Who Can Become a BMM Representative?

  • Nominated by an Executive Member Mandal or Associate Member Organization
  • Must be a duly registered member of the respective Mandal
  • Must have minimum 1 year of Executive Committee experience
  • Must reside within the metropolitan area of the nominating Mandal
  • Recommended (Not Mandatory): Should be a current Executive Committee (EC) member of the Mandal.

Term & Tenure

  • Term Length: 2 Years (From one Biennial General Body Meeting to the next)
  • Mid-Term Replacement: Replacement serves only the remaining portion of the term.
  • Lifetime Limit: Maximum 8 years total (4 terms)
  • Exceeding the limit = Ineligible to vote in BMM Elections

 Voting Authority

  • Only Executive Mandal votes through its Mandal Representative
  • Must meet residency and term-limit requirements to retain voting rights
  • Non-compliance = Loss of BMM Election voting eligibility

Nomination Process

 At the beginning of an election year:

  • Executive Committee should:
    – Seek nominations from eligible and willing volunteers within the Mandal membership. The Mandal President shall ensure that this opportunity is communicated to the entire membership.
    – Identify and finalize a qualified volunteer in accordance with the Mandal’s internal process (election, selection, or nomination). This process shall be governed by the Mandal’s By-Laws, and BMM shall not intervene in that process; however, it is mandatory that the full membership is duly informed to ensure transparency and alignment with the BMM’s By-Laws.
  • Mandals must formally notify BMM of their designated “BMM Representative” by March 31 of the BMM election year.

Nomination of the Mandal Representatives (BMM Representatives):

1. Nomination Requirement

Each Mandal must nominate its Mandal Representative (BMM Representative) as the first step in the BMM election process.

2. Transparent Process

Mandal Presidents must ensure that the nomination or selection process is conducted transparently, in full compliance with the BMM By-Laws, and with appropriate communication to Mandal members.

3. Submission Deadline

All Mandal Presidents must submit their nominee for the 2026–2028 term by March 31, 2026.

4. Voting Eligibility

Only confirmed BMM Representatives will be eligible to vote in the BMM election process.

5. No Changes After Deadline

No changes to the nominated Representative will be permitted from April 1, 2026, through the conclusion of the election process, except in unavoidable or extraordinary circumstances.

6. Term of Office

The confirmed Representative will serve for the 2026–2028 term, with the term formally beginning at the start of the BMM General Body Meeting, making them eligible to participate in the BMM 2026 elections.

  • The table below lists the BMM Representatives (Mandal Representatives) of each Mandal, duly confirmed by their respective committees for the 2026–2028 term.
  • The term of these BMM Representatives shall be two (2) years, commencing at the start of the 2026 Biennial General Body Meeting and ending on the day preceding the 2028 Biennial General Body Meeting.
  • No Mandal shall replace its BMM Representative during the period from April 1, 2026, through the conclusion of the 2026 Biennial General Body Meeting, except under unavoidable or extraordinary circumstances.
  • Following the conclusion of the 2026 Biennial General Body Meeting, a Mandal may replace its BMM Representative in accordance with its By-Laws. Any such replacement shall serve only for the remaining portion of the original term.
  • All Mandals shall be required to nominate their BMM Representative for the 2028–2030 term by Mar 31, 2028. Further communication regarding this process will be shared by BMM in early 2028.

The role of the BMM Representative (Mandal Representative) is one of the most important leadership positions within our ecosystem. It serves as the primary bridge between your Mandal and BMM, and also provides a pathway for broader leadership roles, including participation in the BMM Executive Committee, Presidency, and Board of Trustees.

Given the significance of this role, the nomination and selection process for a BMM Representative is a critical responsibility of every Mandal.

We strongly encourage all Mandals to ensure that this position is clearly defined within their By-Laws. If this has not yet been incorporated, we request Mandal Presidents to take the necessary steps to formalize it before the end of their term, thereby creating a structured and transparent process for future leadership.

 

Recommended By-Law Inclusions:

Your Mandal’s By-Laws should clearly define the following:

  • Eligibility Criteria
    (e.g., minimum one year of Mandal Committee experience, active Mandal membership)
  • Nomination Timeline
    Clear communication on when and how this position will be announced to members
  • Selection Process
    Whether the Representative is:
    • Elected by members
    • Selected by the Mandal Committee
    • Nominated from within the Committee
  • Transparency & Communication
    Ensuring that the entire Mandal membership is informed and has an opportunity to participate

 

Alignment with BMM Governance:

We also recommend that Mandals align the term of their BMM Representative with the BMM Executive Committee term (2 years). This allows for:

  • Continuity in representation
  • Stronger collaboration with the BMM leadership
  • Greater effectiveness in execution over the full term

This may require an off-cycle selection or election process, especially for Mandals whose leadership terms follow a calendar-year cycle.
